Book a free 30-minute consultation about your project admin

Pick a time for a video call about one document workflow on your jobs: RFIs, variations, progress claims, subcontractor compliance or defects. There is no charge and nothing to sign. AI Construction is part of the Yes AI group, and the call is with a Yes AI consultant.

What the 30 minutes covers

The workflow that needs the most chasing

We pick one: RFIs waiting on the design team, variations that never get priced, claims assembled from site diaries, insurance certificates that lapse mid-job or a defects list built from phone photos. You tell us how it runs on a current project and who does the follow-up.

Your project software

Procore, Aconex, Buildxact, Cheops, Jobpac, Simpro, or spreadsheets on a shared drive. We look at what could be read from your system, what has to stay manual and where a contract administrator would check the output.

Documents with contractual weight

Time-bar notices, variation directions and payment claims under your state security of payment law stay under a person's sign-off. We talk about where those lines sit for your contracts and where project files would be stored.

Whether a pilot is worth running

A straight view on whether your document volume justifies a pilot on one live job, what it would measure and what it would ask of your team. If you run a handful of small jobs a year, we will say the effort is better spent elsewhere.

Who should join

The contract administrator or project coordinator who does the chasing is the most useful person on the call. Bring the project manager or a director if they decide on software. A site supervisor can join if defects or site photos are the topic.

Before the call

No preparation is required. It helps to have one current job in mind and a rough count of open RFIs or variations, the number of subcontractors on site and how long the last progress claim took to assemble. If you keep a register or tracker, have it open on screen.

Please keep contracts, personal records and confidential project files off the booking form and out of the call. A description of how a document moves between site, office and consultants is enough for a first conversation.

If you would rather write first, use the enquiry form or call (03) 9003 0111. This call covers document administration only and does not give legal, contractual or engineering advice.

Questions about the consultation

Is the consultation free?

Yes. The 30 minutes cost nothing, and booking does not commit your company to a pilot or any paid work.

Who will I speak with?

A consultant from the Yes AI group, the Melbourne company behind AI Construction. Your calendar invitation comes from the Yes AI team calendar and includes the video link.

Which times can I book?

Weekday starts from 9am to 6:30pm Melbourne time, at least two hours ahead, with Victorian public holidays excluded. The picker shows each time in your own time zone, so a builder in Brisbane sees AEST and one in Perth sees AWST.

Do we need to send drawings or contracts?

No. Leave drawings, contracts and subcontractor details out of the booking form. Describing the steps a document goes through is enough.

Does this suit small builders?

It suits companies with a contract administrator or project coordinator, usually on commercial or multi-unit residential work. If the owner handles documents between site visits, we will tell you on the call whether any of this would help.

How do I change or cancel the booking?

Reply to the calendar invitation or call (03) 9003 0111. Reminder emails arrive before the call, and an SMS as well if you leave a mobile number.
